Transfer Contact Information To Blackbaud

Hi! The feature we're going to be talking about this week is being able to transfer contact information from both registrants and attendees into Blackbaud Razors Edge NXT.

This is an event with registrations we want to transfer over. We have already gotten the matches from Blackbaud and have matched things up, but we just haven't verified them yet. If I go ahead and click "Verify", we can see there is a registrant with just a single attendee, and we have matched up the registrant as well as the attendee.

But, as opposed to just saving a match, now you can save a match and review the contact information to potentially transfer it to your Blackbaud system. If I click this button, it loads a screen to compare the contact information and it does it separately for emails, addresses, and phones. If there is an exact match, it's not going to show the comparison between the two systems. It just says there's a matched email that came through Advancement Form, so it's not going to show that as a tab, but it does show a tab where anything is different.

We have the address tab here and can see in Advancement Form it's 456 Main Street, whereas the Blackbaud record is 123 Main Street. We can choose to go ahead and say well we want to make this his main address. We can create it as a new address and set the type as well as set whether it should be primary or not. We can also make edits to the address if it needs to follow a specific format. But, let's assume this is a typo and we just want to ignore this address. We uncheck the slider so nothing will to be sent to Blackbaud. If we look at the phone tab, we can see, okay, we did get a new phone. So let's go ahead and transfer that phone and make it primary on Frank's record. Once that is done, we can click save. Now those changes are locked in for when you do the transfer.

If we look back at this, we can see that it says reviewing "Frank Apple" who is both a registrant and an attendee because here we matched them up to be the same person. But, an enhancement will be available soon to add an email, an address, and a phone to each attendee if you wanted to collect that information. This form does have an email, phone, and address for every attendee so we can collect that information from each person. You can see the phone numbers are different here for each person and the emails are different but the address is the same.

If we continue, we can see we're looking at Kevin Bacon who's both the registrant and the first attendee. We see that the address matched what was in the system but the email is different and it looks like the email is a typo. Maybe he put one extra n in his email address. Therefore, we believe the existing email is accurate so we don't have to do anything for the email. But, if we go to the phone we can choose to go ahead and add that new phone. And I'm going to go ahead and make it primary. Once I save Kevin Bacon, it's then going to take me to Kelly's record and she's just an attendee. We don't have an email. So, we'll go ahead and create that as primary and we can edit the email if necessary. For the address, sure, let's go ahead and create that as well. And then the same for the phone. There's no phone so we'll go ahead and create that as well and save it. Now, that record is ready to be transferred. When the record's transferred, it will create new emails, addresses, and phones based upon how you configured each individual registration or attendee.
